eGate: the gate register, on the guard's phone

eGate App is the gate module of eManage ERP, used by security guards on an Android phone or tablet. It logs every vehicle in and out, scans the QR on challans and gate passes, photographs plate, bilty and load, and issues the gate entry number the store receives against. What it does

eGate does everything the gate register did, and more

It replaces the inward register, the outward challan check, the visitor book and the RGP file with one app that writes to eManage ERP. Each entry carries a number, a timestamp, photos and the user who made it.

Inward gate entry

Party, PO, vehicle number, driver and arrival time. A GE number is issued on the spot and the store sees the vehicle waiting.

QR on every challan

Outward challans and gate passes print with a QR. The guard scans it; a challan that is not approved, or already out, will not clear.

Photos on the record

Number plate, bilty, driver ID and the load, taken from the app and stored against the entry with time and user.

RGP and NRGP

Returnable passes for dies, cylinders and drums stay open till the item is back. Non-returnable passes close on exit.

Visitor passes

Name, company, whom to meet, in and out time. The person being visited is notified in the ERP.

From the gate to stock on eGate, without re-typing

In three screens: the guard issues a gate entry, the store receives against it, and outward material leaves on a scanned, approved challan. Each screen writes to the same record.

Step 1 · Gate in

The truck is logged before it is unloaded

    The guard picks the supplier and the open PO, types the vehicle number and takes photos of the plate, bilty and load.

  2. 2

    The app issues a gate entry (GE) number with a locked timestamp and prints a slip for the driver if you want one.

  3. 3

    The store screen shows the vehicle as "at gate", with the supplier challan number already recorded.

Step 2 · Store sync

The MRN opens with the gate data filled in

    Stores opens the Material Receipt Note against the GE number. Party, PO, vehicle, challan and photos are already there.

  2. 2

    Quantities are counted or weighed, QC is called if the item needs it, and the receipt posts to stock and to the purchase ledger.

  3. 3

    A supplier challan without a gate entry cannot be received. Nothing enters stock that did not pass the gate.

Outward on a scanned, approved challan

    Dispatch, job-work and RGP challans print from the ERP with a QR code. An unapproved document carries a draft watermark and no QR.

  2. 2

    At the gate the guard scans the QR. The app shows the items and quantities, the guard confirms the count and the exit time is stamped.

  3. 3

    Returnable passes stay in the pending list until the item comes back and is scanned in against the same pass.

What does eGate App cost?

eGate App is part of eManage ERP, not a separate licence. The price depends on the edition, the number of users and whether you run on the cloud or your own server. We quote after a free process study at your gate, so the figure covers set-up and guard training, not just software.

What hardware does the gate need?

One Android phone or rugged tablet per gate with a camera, on 4G or the plant Wi-Fi. The phone camera reads the QR, so no separate scanner is needed. Challans and gate passes print on the A4 printer the office already uses; a small Bluetooth printer for driver slips is optional.

What happens when the internet drops at the gate?

The inward entry and its photos are kept on the phone and posted when the signal returns, with the original time. Scanning an outward challan needs the server, because the app checks that the document is approved and has not already left. Gates with weak signal get a 4G router or plant Wi-Fi.

Can several gates share one log?

Yes. Every gate runs the same app against the same eManage database. A truck that enters at Gate 1 and leaves from the scrap gate has one movement record with both timestamps, and a material gate pass can be closed only once, at whichever gate it goes out of.

Which eManage editions does eGate App work with?

All 12 editions, because the gate entry is a standard eManage document. It is used most in garment, knitting, dyeing, fastener, auto-component and sheet-metal plants, where job-work challans and returnable passes for dies, cylinders and rollers move daily. The MRN, job-work register and e-way bill read from the same gate entry.

Does eGate App print challans and gate passes with a QR?

Yes. Outward material goes on a Challan cum Gate Pass printed on A4 from the ERP with item particulars, HSN, quantity, the returnable or non-returnable flag, your stamp and signatory block, and a QR code. A document that is not yet approved prints with a draft watermark and no QR, so it cannot clear the gate.
