Job work management software, from challan to ITC-04

eManage job work management tracks every lot you send to an outside processor. Material leaves on a numbered challan against a job-work order, stays visible as your stock at the processor, and is received back against that challan with weight or count, waste and rejection. Shortage is measured against the agreed allowance, processing bills are checked against quantities received, and ITC-04 is prepared from the same entries.

THE PROBLEM

What goes wrong before eManage

The same gaps show up in plant after plant, long before anyone calls them a system problem.

Challans in a notebook

Nobody can say how much of your material is at which processor today.

Shortages argued, not measured

Losses are discussed at bill time with no lot-by-lot evidence.

Bills paid on claimed quantity

Processing charges are paid on what the processor says, not what came back.

ITC-04 assembled at the last minute

The half-yearly return takes days, and the one-year limit is easy to miss.

WHAT IT COVERS

Everything eManage job work management covers

Out

Every lot leaves on a challan

Job-work orders define what each processor will do; challans carry the material out against them.

  • Job-work ordersProcess, rate, allowance and due date agreed per processor.
  • Challans against lotsLot, heat, shade or bundle numbers carried on every challan.
  • E-way bill from the challanGenerated with the vehicle details when the movement needs one.
  • Processor-to-processor movesMaterial sent onward from one processor to the next stays traced.
  • Pending registerWhat is at each processor, by challan and lot, with age.

Back

Receipts matched, shortages measured

Returned material is received against the original challan, so every kilo or piece is accounted for.

  • Receipt against challanFull, partial and combined receipts matched to the challans they close.
  • Waste and by-productsProcess waste recorded separately from shortage.
  • Shortage against allowanceLoss per processor and lot compared with the agreed percentage.
  • Inspection on returnProcessed material inspected; rework and rejection charged to the processor.
  • Processor scorecardShortage, rejection and turnaround time per processor over time.

Settle

Bills, ageing and ITC-04 from the same record

Because issues and receipts are matched as they happen, settlement and compliance are reports, not projects.

  • Bill checkingProcessing bills compared with quantities actually received.
  • Shortage debit notesExcess loss raised as a debit note against the processor.
  • Time-limit alertsChallans approaching the one-year (inputs) or three-year (capital goods) limit flagged.
  • ITC-04Goods sent, received and supplied from processors, prepared for filing.
  • Cost per lotProcessing charges and shortages added to the cost of each lot.

ON THE FLOOR

How it works in eManage, step by step

One challan, followed until it closes.

  1. Plan. Job-work orders are created from the production plan with rate and allowance.
  2. Send. Material is issued on a challan by lot, with an e-way bill where required.
  3. Track. The pending register shows what is at each processor and for how long.
  4. Receive. Processed material is weighed or counted in against the challan.
  5. Inspect. Quality is checked; rework or rejection is recorded against the processor.
  6. Settle and file. Bills are checked, shortages debited and ITC-04 prepared.

FAQ

Questions about eManage job work management

Something specific to your plant? Ask an implementation lead.

What is job work management software?

Software that tracks material sent to outside processors on challans, matches what comes back, measures shortage and rejection, checks processing bills and prepares the ITC-04 return.

Does eManage prepare ITC-04?

Yes. ITC-04 data is prepared from the challans and receipts recorded in eManage for the period.

Can it handle partial and combined receipts?

Yes. A receipt can close part of a challan, or several challans at once, and the balance stays pending.

How is shortage calculated?

Expected quantity back is compared with quantity received, after recorded waste, and the loss is compared with the allowance agreed for that processor and process.

Does it warn about GST time limits?

Yes. Challans approaching one year for inputs or three years for capital goods are flagged before the limit.
