Railway parts ERP software for RDSO-approved vendors

eManage Railway Parts ERP is manufacturing and accounts software for suppliers to Indian Railways and rolling-stock builders. It controls purchase orders by consignee and date, heat-number traceability through casting, forging and machining, stage inspection records for RDSO and RITES, and consignee-wise dispatch against inspected quantity. It is implemented on site by the eManage team from Ludhiana, Punjab.

Sound familiar? eManage fixes all four

Railway orders are won on documentation as much as on parts. Material test certificates, stage inspection calls, inspection certificates and consignee-wise dispatch all have to tie back to one lot. This edition keeps that chain intact.

PO dates and LD in a diary

Delivery dates, extensions and liquidated damages are tracked by hand per PO line.

Heat traceability rebuilt for inspection

Mill certificates and lot records are pieced together before every inspection call.

Stage inspection on loose sheets

RDSO and RITES stage results are filed separately from the lots they belong to.

Consignee dispatch tallied by hand

Inspected quantity and consignee-wise dispatch are reconciled manually.

Here is how Railway Parts ERP handles each of these.

WHAT IT HANDLES

eManage covers every control point of a railway parts unit

How eManage Railway Parts ERP works, stage by stage

Order intake

The PO becomes the plan, with its dates and documents

  1. 1

Each railway PO is entered with its documents. Drawing revision, specification, inspection agency, consignees and delivery schedule are on it.

  2. 2

Lots are created against the PO lines. Raw material is reserved by heat, so the certificate is available before production starts.

  3. 3

The order dashboard shows every PO line. In production, awaiting inspection, inspected and dispatched are visible per line.

Traceability

Heat number in, heat number on every document out

  1. 1

Material receipts record the heat and supplier test certificate. Melt and forge batches record the in-house tests against it.

  2. 2

Parts carry the heat through machining and assembly. A single lot number answers which heat, which furnace, which operator.

  3. 3

Certificates are printed from the lot, not retyped. Test, guarantee and inspection reports use the same lot data.

Inspection & dispatch

Inspection calls, certificates and consignee dispatch in sequence

  1. 1

The inspection call is raised when final inspection is complete. Quantity offered and the supporting test records go with it.

  2. 2

The inspection certificate quantity is recorded against the lot. Only passed quantity becomes available for dispatch.

  3. 3

Dispatch is made consignee-wise against the PO schedule. E-way bill, packing list and receipt acknowledgement are tracked for payment.

FAQ

eManage Railway Parts ERP questions

Something specific to your unit? Ask an implementation lead.

Does Railway Parts ERP handle RDSO vendor documentation?

It keeps the lot-level records that RDSO and RITES inspections require, that is material certificates, stage inspection results and test reports, and prints inspection calls, test certificates and packing lists from that data. Vendor registration and approval itself remains with the agency; the system keeps the records that support it.

Can we track liquidated damages and delivery extensions?

Yes. Each PO line carries its delivery date and any extension granted. Dispatch dates are compared against them, and the LD exposure per PO and per line is reported before the bill is raised, so the owner knows what deduction to expect and which extension letters are still pending.

Our machining is done by outside shops. Is heat traceability kept?

Yes. Lots go to the outside machinist on a job-work challan with the heat number and quantity. Receipts are matched against it, shortage and rejection are tracked per shop, and ITC-04 is prepared from the same challans. The heat stays on the lot, so the test certificate is unaffected.

Can we migrate from Tally?

Yes. Party, item and ledger masters with opening balances are imported from Tally, and open POs, drawing lists and inspection plans are loaded from Excel at go-live. Units that keep Tally for final accounts export vouchers from eManage; others run accounts in eManage. The mapping is done on site during implementation.

How long does implementation take for a foundry with 80 people?

Typically 4 to 6 weeks on site, with heat traceability and inspection plans set up per drawing by the eManage team from Ludhiana. A foundry with many live drawings may take longer to load its inspection plans, so modules are switched on in sequence and production entry starts early.

What does Railway Parts ERP cost?

Pricing depends on the number of users, the modules you switch on and whether you run it on the cloud or your own server. It is quoted as a licence plus a one-time implementation fee after a demo on your own PO and inspection requirement. Call +91 98156 23402 or write to info@emanage.in for a quote.
